Student Promotion

At the beginning or end of a school year (whichever applies to your church), it's time to promote students to the next grade level. Use the Move Assignments feature to quickly move student assignments from their current grade/age level to the next level.

Note: Always begin with your oldest grade/age level (for example, 12th grade) and work your way down. This is a best practice to make it easy by moving students into clean rooms.

To move assignments:

  1. Click Ministry > Participants > Manage Assignments. The Move Participant Assignments form appears.
  2. In the Current Assignments area, select your student ministry from the Ministry drop-down list.
  3. Select High School from the Activity drop-down list.
  4. Leave the default All selection in the Activity schedule drop-down list and select 12th Grade from the Room, Location, Class drop-down list.
  5. In the Move To Assignment area, select your College/Career/Singles ministry from the Ministry drop-down list.
  6. Select the appropriate Activity, Activity schedule (if appropriate), and Room, Location, Class.

  7. Click Review. The Move Participant Assignments list appears. All students with an assignment to 12th Grade appear.
  8. Select the check box in the header column. This action will select the check box beside every individual's name. You may need to clear check boxes if any students were held back. Do this by clicking on the check box beside any individual who should not be moved (will remain in 12th Grade another year).
  9. Click Yes, move this assignment. A confirmation message appears.
  10. You will receive the following confirmation message at the top of your screen:
  11. Repeat the previous steps. This time select the High School activity and the 11th Grade class in the Current Assignments area. Select the High School activity and the 12th Grade class in the Move To Assignment area.
  12. Repeat this process until you have promoted all High School students. Then repeat this process for your Middle School students. When you are finished, you should have an empty 6th Grade room (aside from any students who were held back). At this point you can notify the Children's ministry staff that they are free to move 5th Grade students to the 6th Grade Middle School assignment.
